Where do you make proposals and decisions with your team in the company?
When guests visit your company, where will you take them?
That’s right, the meeting room.
The meeting room is a space where important decisions are discussed by internal and external stakeholders. It is the place where the direction of the company is determined, and also where opportunities are created.
The meeting room is also the space guests regularly enter during their visits.
From the moment the guest steps into the meeting room onward, the main criteria the company is judged by ranges from interior design to digital devices. These are keys to the success in receiving purchase orders and cooperation. Therefore, the meeting room resembles our company’s image, namely, our “international image”.
How would you like others to see you?
We intend to obtain the advantage in business competencies to benefit from business conversations. In the era of digital transformation, the level of digitalization will be the critical criteria which we will be judged on. A client who entrusted BXB to lay out a plan for their meeting room stated “The only request I have is that, no matter who enters the meeting room, I am the person in control.
I will be the one evaluating the cooperation. They don’t have to evaluate us because they can see that my company has achieved a certain height and scale!”
First, closely inspect your meeting room.
Most traditional meeting rooms are equipped with projectors for information display and presentations. However, in the course of using this traditional equipment, we found the following pain points:
- Contents of the projection aren’t clearly visible: The resolution of the most commonly used projector is 1024 x 768 pixels. During installation, it is necessary to move seats away from the projector appropriately. This would make it difficult for participants sitting at the back to see the texts in the projection clearly, resulting in an ineffective information communication.
- Trouble with turning on and off lights: The color performance of a projector is highly influenced by the lighting in the room. Lights must be turned off in order to see the projection clearly. However, turning off the lights before presentations and turning them on after lays a huge burden on the staff in charge. It will also interrupt the smooth-running of the meeting.
- The impact of a dimmed environment on speaker and listeners’ attention: The emotions of the listeners are influenced by the expression and body language of the speaker on stage, these are keys to a successful speech. If the environment is dimmed for projection, the speaker is left standing in the dark. The listeners have to take notes in the dark. They might even start nodding off. These will cause considerable impact on the efficiency of knowledge communication.
- Pressure caused by projection light on speaker: Speakers may encounter a bright light shining into their eyes if they walk into the area of projection. There will be text and image projection on their face as well. That will interrupt the speaker’s train of thought, and the listeners’ attention, which will not be ideal.
- Inability to present multiple information at once: In conferences, it is often necessary to compare and cross-analyze reports/charts. A single projection screen doesn’t satisfy the need to cross-analyze and evaluate multiple information.
Such a meeting room reduces the efficiency of information communication and teamwork, while also limiting participants’ creativity and skills in digital thinking. If you’re experiencing the same situation as mentioned above, upgrading your meeting room is imperative!
Upgrade your meeting room so that it resembles the company’s digital international image
COVID-19 has made video conferencing the norm in business communication. Through the video camera, the clients on the other side of the screen can see the layout of your meeting room immediately. They will start evaluating your company from that point onward.
How would you like others to see you and your company, starting from the moment the video camera is turned on?
In the post-COVID-19 era, we need to pay great attention to the company’s international image. We must upgrade it to the company’s “digital international image”. A great digital international image is your leverage in international communications. It is also an advantage in the competition of global marketing.
BXB can assist you in the process of obtaining an impressive “digital international image”
BXB take “user context” as the most fundamental design direction, and plan your meeting space accordingly, including the orientation of the meeting table and the appropriate equipment. We’ll even share with you our experience in how the space can be utilized to the greatest extent. We aim to maximize the value of a meeting room, rather than just provide equipment. In this way, we can really solve your pain points, and lay out a smart meeting room which best suits the user context.
BXB is proficient in utilizing the flexibility of spliced video walls. By presenting elegant atmospheric welcome screens and a photo wall, attach importance to your guests. Multiple visual charts can be displayed on different screens to allow cross-analysis and comparison. Having all information visible at the same time makes the difference and similarities clear at a glance, which will increase the efficiency in analyzation and decision-making.
